AI Features

MyBooks includes a set of AI Features that read your business data and turn it into plain-language insights, summaries, and time-saving shortcuts. AI Features are available on the Premium plan and above — see Subscription Plans for details.

All of it is controlled from one place: Settings > AI Features.

  1. Go to Settings > AI Features.
  2. Use the toggles to turn AI Report Insights and the Weekly Business Brief Email on or off for your business.
  3. Click Save Changes.

Only Admin users can change these settings. The sections below cover each AI feature in detail.


AI Report Insights

When enabled, MyBooks automatically analyses your Profit & Loss, Balance Sheet, Cash Flow, and Invoice Profitability reports and surfaces key takeaways right on the report page. Look for the AI Insights panel below the report — click it to expand or collapse the commentary. It only appears once a report has enough numbers to say something meaningful about.

Turn this on or off anytime from the AI Report Insights toggle in Settings > AI Features.


AI Business Summary

The AI Business Summary is a card on your dashboard that gives you a running narrative of how your business is doing — a short summary plus a Going well and Areas to improve breakdown, generated from your recent financial activity. Click the card header to expand or collapse it.

If you don't yet have enough invoices in the current month, the card will tell you it needs more data before it can generate a summary.

If your plan doesn't include AI Features, you'll still see this card on your dashboard — but blurred, with an AI Insights Locked overlay and an Upgrade Now button, so you get a preview of what's available on Premium.

Scheduled Email Version

You can also receive the same kind of business summary by email:

  • A quick Weekly Business Brief Email toggle (with a send-time picker) lives right on the Settings > AI Features page, for a fast on/off with a Monday delivery.
  • For more control, go to Settings > Business Summary Email, where you can set:
    • Frequency — Daily, Weekly, or Monthly.
    • The day it's sent (day of week for weekly, day of month for monthly).
    • The period the summary covers (e.g. Last Month, Last Week, This Quarter).
    • An optional recipient email (defaults to your business email if left blank).
  • Use Send Test Email Now on that page to preview the email immediately.

Emails include total sales, expenses, net profit, your top 5 customers, top 5 products, and an expense breakdown.


AI Receipt/Bill Scanning

Instead of typing in a bill or expense line by line, you can let AI read it for you:

  1. From an expense or transaction form, choose the Scan Document option and click Choose File.
  2. Upload a photo or PDF of the invoice or bill (JPG, PNG, or PDF).
  3. MyBooks scans the document and shows you the Extracted Data — invoice number, date, due date, total amount, matched or new supplier, and each line item it found.
  4. Review the extracted values carefully — you're reminded that AI may make mistakes, so always double-check before applying.
  5. Click Apply to Form to fill in your transaction form with the extracted details, then finish and save it as usual.

This is a fast way to get paper or emailed bills into MyBooks without manual data entry.


AI Chat Assistant

The AI Chat Assistant is an in-app chat you can open from anywhere in MyBooks to ask questions about your own business data — think "what were my top expenses last month?" or "how much do I owe supplier X?" Type your question and press Send; responses appear in the conversation just like a chat.

If your plan doesn't include AI Features, the chat panel shows a lock overlay explaining that AI Assistant is a Premium feature, with a View Plans button to upgrade.

As with any AI feature, double-check important numbers before relying on them — the assistant can make mistakes.
