Auto Numbering

Auto Numbering controls how MyBooks generates the reference number for each new document you create — invoices, bills, estimates, and other document types each get their own numbering sequence, so you don't have to number anything by hand.


Viewing Your Numbering Sequences

  1. Go to Settings > Auto Numbering.
  2. You'll see a list of document types (Autonumber), each with its current Prefix, Next Number, and Reset setting.

The exact list of document types shown depends on which transaction types are enabled for your business, and typically includes documents such as Invoices, Bills, Estimates, Sales Orders, Purchase Orders, and Sales/Purchase Returns.


Changing a Numbering Sequence

  1. From the Auto Numbering list, click the edit (pencil) icon on the document type you want to change.
  2. Set the Prefix — the text that appears before the number (e.g. INV-).
  3. Set the Next Number — the number that will be used for the next document you create of this type.
  4. Set the Numeric Length — how many digits the number is padded to (e.g. a length of 4 turns 7 into 0007).
  5. Use the Enable/Disable auto numbering switch to turn automatic numbering on or off for this document type. When disabled, you'll need to enter a number manually on each document.
  6. Click Save Auto Number.

Be careful when changing the Next Number on a sequence that's already in use — jumping it backward can create duplicate document numbers.

Each sequence also shows a Reset setting (Yearly, Monthly, or Quarterly) in the list, which determines whether the numbering restarts on a recurring schedule rather than counting up indefinitely.
